ExternalOS is a UK sole trader business operated by James Thom, based in Leeds, England. Trading address available on request via hello@externalos.com. Governing law: England and Wales.
Digital files: structured document packs, spreadsheets, calculators and templates for UK business admin. You receive a perpetual licence to use the files for your own business and the businesses you directly advise. You may not resell, re-upload, redistribute or sub-licence the files.
Purchases are processed through Payhip, which acts as the merchant of record. Payhip's terms apply to the payment transaction in addition to ours. Listed prices are inclusive of VAT and final, so the price you see is the price you pay.
Email hello@externalos.com within 30 days of purchase requesting a refund and we'll issue one without further questions. You keep the files. This is more generous than the statutory floor for digital downloads. Full detail on the refund policy page.
Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 reg. 37, your right to cancel a digital download is lost once the download has begun, provided you've given express prior consent at checkout. The Payhip checkout collects this consent.
We re-issue updated files when statutory rates or rules change materially (HMRC bands, ICO guidance, statutory instruments). You receive the updated file by email in the same order line as your purchase. Keep your purchase email. We don't commit to a fixed update interval; updates are reactive to legislative change.
Our files are working tools for UK small businesses. They aren't legal, tax or financial advice. They don't replace professional advice from a solicitor, accountant or qualified compliance officer. For decisions that will end up in court or in front of HMRC, verify the current position with a qualified professional before filing, signing or serving anything.
Files are provided as-is. We make best efforts to keep statutory references current as of the listed tax year. We accept no liability for outdated information, mis-application or losses arising from use of the files.
To the maximum extent permitted by law, our total liability arising out of or in connection with these terms is limited to the amount you paid for the file giving rise to the claim. Nothing in these terms excludes liability for death, personal injury caused by negligence, or fraudulent misrepresentation.

We may update these terms from time to time. The "last updated" date in the header of this page is authoritative. Material changes will be communicated by email if they affect your rights.
